1. Key Features

 

Our POS application is designed to optimize sales operations with a comprehensive suite of functionalities:

1.1. Invoicing and Credit Notes

  • Direct Sales Invoicing:

    • Invoices can be generated directly from the POS interface for all sales.

    • Supports various payment types including cash, card, mixed, and integrated payment flows.

    • Taxes (VAT) are automatically applied based on predefined settings and compliance regulations.

    • Seamlessly integrated with Qoyod’s accounting system, ensuring real-time invoice synchronization, or immediate syncing upon regaining an internet connection for offline transactions.

    • ZATCA e-invoicing compliant, generating structured data that adheres to Saudi e-invoicing requirements.

    • Invoices are printable via supported printers.

    • Supports multi-branch handling, linking each invoice to its respective branch or store for accurate reporting and compliance.

    • Accommodates recurring or deferral payment flows, particularly for subscription or installment-based sales (deferral schedules are managed within the accounting system).

  • Credit Notes (Returns & Refunds):

    • Credit notes can be issued directly within the POS for returned items or overpaid invoices.

    • Options for issuing full or partial credit notes, based on returned quantities or agreed-upon refunds.

    • Supports refunds to the original payment method or as store credit, depending on business configurations.

    • Automatically adjusts inventory in upon the issuance of a credit note.

    • Directly linked to the original invoice for complete traceability and audit purposes.

    • ZATCA-compliant credit note generation, producing structured data that matches the original invoice reference.

    • Credit notes are instantly reflected in both POS and accounting reports once synchronized.

1.2. Cart Management

 

The cart management system provides robust control over transactions, featuring:

  • Automatic tax calculation based on the item's unit price.

  • Ability to modify the unit price of items.

  • Easy adjustment of item quantities.

  • Seamless offline mode operation, ensuring all transaction data is stored locally until an internet connection is re-established.

  • Barcode Scanning Support: Works with all standard barcode scanners (USB, Bluetooth, or built-in device cameras).

  • Weighted Barcode Support: For items priced by weight (e.g., fruits, meat, bakery).

  • Handle partial payments.

  • Capability to handle partial payments for invoices.

  • Direct application of discounts at the point of sale, with immediate reflection on the line item.

1.3. Payments & Wallets

  • Cash, card, and mixed payment support.

  • Integrated payment processing with Hala platform:

    • Accepts wallet payments through Hala.

    • Supports card payments via Hala terminals.

    • Ensures compliance with local financial and ZATCA regulations.

  • Refunds can be processed directly to the original payment method or wallet.

1.4. Multi-User and Permissions

User permissions are highly configurable, enabling tailored access control for various actions, including:

Multi-user sessions supported on the same POS device.

User switching & security:

  • Current user can lock their account using a PIN to securely switch to another user.

  • The PIN does not log out the user; it simply protects the session while another user logs in.

Multiple users on one device:

  • Several users can operate the same device simultaneously.

  • Each user’s transactions are tracked individually.

  • Permissions and access levels are specific to each user, ensuring secure operations.

  • Configurable permissions for:

    1. Customer creation

    2. Credit note management

    3. User management

    4. Tax and unit price modifications

    5. “Pay later” authorization

    6. Access to settings

1.4. Settings

 

The application offers a variety of settings to customize its behavior and appearance, ensuring alignment with specific business requirements:

  • Language control (Arabic/English)  affects app interface and printed documents.

  • Receipt & Credit Note Language: Receipts and credit notes can be printed in Arabic, English, or a mix, depending on business preference.

  • Print User Name: Option to include or exclude the user's name on printed receipts.

  • Receipt Header/Footer Customization: Ability to customize content appearing at the top and bottom of receipts.

  • Print Simplified Tax Invoices: Permission to print simplified tax invoices.

  • POS Working Mode: Configuration of the POS operating mode (e.g., training, live).

  • Enable Total-to-Quantity Entry: Allows users to enter a total amount, with the quantity automatically calculated.

  • Watermarked Copy: Option to print receipts with a watermark.

  • Credit Note Header/Footer Customization: Ability to customize content appearing at the top and bottom of credit notes.

  • Document Printing Options: Options to print customer name, product barcode, product SKU, and customer phone number on documents.

  • Display Payment Method: Option to show the payment method on receipts.

  • Default Payment Method: Setting a default payment method for expedited transactions.

  • Default Customer: Setting a default customer for quick sales.

1.5. Customer-Facing Display

  • Supports two display layouts:

    • Large layout: Shows detailed cart items, quantities, totals, and payment method.

    • Mini layout: Compact version focused on key transaction details.

1.6. Reports

  • Session Report: Track transactions per cashier session.

  • Daily Report: End-of-day reconciliation with invoice/credit note totals.

  • Last 10 Transactions Report: Quick access for review and troubleshooting.
